Mail can be collected within the business

Mail can be collected in a number of ways. Every organisation will have its own method that suits its size and function.

Before processing the mail that has been collected, it must be checked. A checklist (below) is a guide to help check mail before it is processed and dispatched.

Checklist for Mail Out
1 The address details and layout are correct
2 The letter and envelope are addressed to the same person
3 The letter has been signed
4 All enclosures mentioned in the letter are there
5 The address is easy to read and is not obscured
6 The return address is included
7 The most appropriate carrier has been included
8 The correct requirements for the chosen carrier have been followed

An important part of the checklist just completed involves the choice of an appropriate carrier for the different mail being processed. As a mail clerk, you will need to be aware of the range of postal services provided by Australia Post and private carriers.

There are also private mail services in Canberra and the surrounding region offering specialised mailing services to businesses. The Yellow Pages show some.

Express Post   

  

You have probably noticed that there are 2 mailboxes at post offices. One is red for regular mail, the other is yellow for Express Mail only.

Registered Post is suitable for valuables items like jewellery or important documents that require proof of delivery.

Courier Services

Courier Services are offered by Australia Post and private businesses. It is a very competitive industry. Most organisations will have an arrangement with a courier service - either Australia Post's Messenger Post or a private business eg. Swaggies use Complete Couriers (as set out in their Policy and Procedures Manual). You will learn more about private couriers later.

 

Messenger Post (Australia Post) can customise the delivery of documents, packages and parcels to suit the needs of the business.

Bulk Mail

Many businesses send out large numbers of letters at the same time and on a regular basis. Australia Post offers economy services with reduced postal costs for large volumes of mail. This is called Bulk Mailing.
