Sorting the Mail

Swaggies procedures mention sorting the mail especially "urgent, certified or express post". This sorting process can be taken further. The Swaggies Mail Clerk would also need to sort mail into departments:- eg Accounts, Human Resources, Sales and Marketing. She/he could also have sorted it by location, seniority of staff, separating internal and external mail or order of importance for each staff member.

Each business will have its own policy on how mail is sorted.

Order of Priority

As a general rule, mail is sorted in order of importance. This is called PRIORITY.

Here is a suggested Order of Priority:

  1. electronic mail - email / faxes

  2. urgent mail - including Express Post, courier, certified, registered

  3. private and confidential - not to be opened

  4. cheques

  5. airmail

  6. ordinary mail

  7. accounts for payment

  8. parcels

  9. magazines and trade journals

  10. newspapers and advertising letters
